Creating Orders
Creating an order is a 4-step process. You can see your progress at the top of the screen.
Step 1: Client Information
Choose Customer Type
Toggle between:
For personal customers
For company/commercial customers
Find or Add Customer
Existing Customer
Start typing in the search field. After 2 characters, matching customers appear. Click to select.
New Customer
Fill in the customer details:
- - First Name, Last Name (required)
- - Business Name (for business customers)
- - Email, Phone (optional - check "Skip validation" if not available)
- - Address (click "Show Advanced" to expand)
- - Notes
Save for Future Orders
Check "Save to Database" to store this customer for future orders.
Click Next to continue.
Step 2: Product Details
Choose Product Type
Select from your inventory
Enter a one-time custom item
Adding Farm Products
- 1. Click the product dropdown
- 2. Select a product (shows available stock)
- 3. Enter quantity
- 4. Unit and price auto-fill from your inventory
- 5. Click Add Product
Adding Custom Products
- 1. Select "Custom Product"
- 2. Enter product description
- 3. Enter quantity, unit, and price
- 4. Click Add Product
Stock Warnings
If you order more than available stock, a warning appears showing available vs. requested quantity. You can override and continue if needed.
Order Summary
The right panel shows all added products with quantities and prices, subtotal, shipping, fees, and grand total.
Click Next to continue.
Step 3: Fulfillment Details
Choose Fulfillment Type
Customer picks up at your farm
You deliver to the customer
For Pickup Orders
- - Select farm location for pickup
- - Set pickup date and time
For Delivery Orders
- - Enter delivery address (autocomplete helps)
- - Set delivery date and time
- - Enter shipping cost (or Auto Calculate)
- - Check "Forklift needed" if required
- - Add delivery instructions
Schedule Settings
- Fulfillment Date: When the order will be delivered or picked up
- Fulfillment Time: Specific time or time window
- Harvest Date: When products should be harvested (for applicable farms)
Click Next to continue.
Step 4: Review & Submit
Review all order details:
Information
& Pricing
Details
Amount
If everything looks correct, click Create Order.
What Happens Next
Order is created with "Pending" status
If auto-invoicing is enabled, an invoice is automatically created
You're redirected to the order details page
